How to Extract Data From 30 PDFs Into Excel

When you need the same information from many PDFs—such as customer names, dates, email addresses, or totals—ordinary PDF-to-Excel conversion can leave you with messy tables and separate tabs for every page.

A better approach is to define the values you need, apply the same rules across your documents, review the results, and export one structured Excel file.

In this demo, 30 PDFs are already open in PDFGrid. First, create a field for the value you need—for example, “Customer name”—then draw around that value in the document.

Not every field needs to use the same rule. For an email address, you can anchor the extraction to a nearby label such as “Email.” PDFGrid also supports text, number and date fields, plus rules based on location, text between phrases, and regular expressions.

Once the fields are set up, you can apply the template across the full PDF batch, preview the extracted values across different documents, and download the results as an Excel file.

PDFGrid is designed for extracting repeated structured data from multiple PDFs. It is not intended to recreate arbitrary PDF page layouts as spreadsheet tables.
